Executive Assistant to CEO/COO – PurpleDOG Post Production

Employment: Full-Time, 1-Year Contract
Location: On-site at PurpleDOG Post in Mississauga, with potential for Hybrid arrangement.
Probation Period: 4 Months

The Executive Assistant will report directly to the CEO of PurpleDOG Post, a boutique post-production facility serving theatrical films, TV features, and series. In addition, this role will involve working with affiliated companies:

  • PurpleDOG Post Production – A full-service post-production house specializing in VFX, sound mixing, and colour grading. https://purpledogpost.com

The Executive Assistant will support the CEO and COO in the daily operations of a fast-paced post-production business. This role requires a proactive, highly organized individual who can handle a variety of tasks related to film production, post-production workflows, sales, marketing,  client relations, and administrative duties. Responsibilities:

  • Assist in managing schedules, booking meetings, and coordinating calendars.
  • Act as a personal assistant to the CEO for communications via phone, email, and in-person.
  • Saving and maintaining databases, contacts,  files and records for easy access
  • Handle a wide range of tasks, from administrative support to industry-specific assignments.
  • Maintain and update client, vendor, and post-production project databases.
  • Serve as a gatekeeper for the CEO’s time by managing incoming communications and prioritizing tasks.
  • Assist with marketing efforts, including social media updates, website maintenance, prepping sales decks and outreach initiatives.
  • Oversee office operations, including inventory management and preparing facilities for client visits.
  • Giving clients and visitors tours of the facility
  • Track resources, including equipment, project assets, and deliverables.
  • Conduct industry research and provide insights on market trends, client opportunities, and new technologies in post-production.
  • Prep materials, meetings and contact lists for film markets, festivals, conferences and other industry events. 

Qualifications:

  • A degree/education in post-production, media production, film or equivalent field experience in production or post-production.
  • A strong interest in post-production workflows, technology, and industry trends 
  • Basic knowledge of post-production pipelines, including editorial, sound, colour, and VFX. (Nice to have)

  • Flexibility to work occasional evenings and weekends (As required)

Technical Skills:

  • Proficiency in Mac OS and Google Workspace (Google Sheets, Google Calendar, Google Drive, Gmail, etc.).
  • Experience using Monday.com for project management and task tracking.
  • Knowledge of Adobe Creative Cloud (Photoshop, Illustrator, Premiere Pro) and/or DaVinci Resolve is an asset.
  • Basic understanding of database management and project tracking tools.
  • Ability to quickly learn new software, online platforms, and post-production tools.
  • Experience in social media management and Mailchimp and website updates (WordPress)  is a plus.
  • Drivers licence and access to a vehicle is a plus
